Finding the platform is only the beginning. Add each tool to your AI inventory and document how it is being used before deciding whether it should be approved, restricted, replaced, or blocked.

Record the product name, provider, website, account type, plan, and version.

Users and Departments

Identify who uses the tool, which teams rely on it, and who owns the business process.

Business Purpose

Document what employees use it for and whether an approved alternative already exists.

Data Access

Identify files, messages, recordings, source code, customer data, and internal systems it can access.

Connections

Record browser extensions, OAuth permissions, API keys, calendars, email, cloud storage, and CRM access.

Approval Status

Mark the tool as approved, restricted, under review, prohibited, or scheduled for replacement.
